Create one airport transport list
Start with the guests who need road transport from Lynden Pindling International Airport (NAS), rather than copying the entire wedding invitation list. Put each travel party on its own line and identify one organizer who maintains the latest version. A couple sharing a flight and hotel may form one party; relatives on another flight need their own arrival details. This keeps the transport plan useful when someone changes a ticket or extends their stay. Record requests separately from confirmed arrangements so a completed spreadsheet is never mistaken for a booking.
Record the details that change the journey
For each party, record the flight number, Nassau local arrival date and time, exact hotel or residence, passenger count, children and any requested child restraints, luggage and special requirements. Add a reachable lead contact, the person responsible for booking and payment, and the current confirmation status. For private accommodation, obtain the full address and receiving instructions. Share only the information needed for coordination; passport copies and unrelated personal records do not belong in a shared wedding transport list.
Name the hotel, not just the resort area
Grand Hyatt Baha Mar, SLS Baha Mar and Rosewood Baha Mar are separate receiving hotels. Likewise, an Atlantis resort reference needs the actual booked tower or property and agreed receiving point. A wedding taking place at one resort does not establish that every guest sleeps there. Check each guest's accommodation confirmation before requesting a route. Use the hotel directory to identify properties, then resolve any entrance or address uncertainty with the accommodation contact.
Group guests by flights and actual hotels
Guests landing on the same flight can still need different journeys. Match the receiving address, passenger and luggage requirements before asking whether they can travel together. Landing time is not the time a party is ready to leave: immigration, baggage collection and customs happen before the road pickup. Ask how the agreed arrangement handles changes and how the party should make contact. Do not tell one group to wait for a later flight unless the waiting arrangement and any resulting charge have been explicitly accepted.
Treat each extra stop as part of the request
List every hotel stop in the requested order and obtain agreement on the route and total fare. A quote to one hotel does not automatically include dropping relatives at another property, collecting wedding supplies or stopping at a venue. New Providence and bridge-connected Paradise Island can be reached by road, subject to confirmed service coverage. An event on another Bahamian island requires a separate air or sea journey; a Nassau airport car does not complete that itinerary.
Match vehicles to people, luggage and special requirements
The standard calculator allows up to three passengers and VIP up to four, both subject to luggage. These passenger limits do not confirm space for every combination of suitcases, garment cases, strollers or mobility equipment. Give the actual inventory before accepting a vehicle arrangement. Describe a wedding dress case or fragile item by its dimensions and handling needs rather than assuming it fits because the passenger count is low. Larger parties and unusual loads require a custom quote and explicit acceptance of the arrangement.
Request suitability before assigning guests to cars
Discuss child restraints, steps, wheelchair requirements and any need for assistance before allocating a party to a vehicle. Ask what can be provided and obtain written confirmation of the agreed requirements. A wedding group inquiry is not a promise of a bus, accessible vehicle, special equipment or a particular fleet. If several vehicles are proposed, check the passengers, bags, receiving address and contact for each one. Keep these assignments with the confirmations so guests know which journey applies to them.
Decide who confirms and pays for each journey
Choose whether the couple, planner or individual guests handle each request, payment and change. A guest should know whether they need to arrange their own transfer or simply supply flight information to the organizer. Before obtaining another quote, check whether an existing hotel package or separately arranged service already includes that journey. Baha Mar's hotels have their own transport contacts, while Atlantis distinguishes airport transport from its resort transportation. The relevant package and written confirmation determine what is included; a room block alone settles neither transport nor payment.
Use clear confirmation stages
Mark each journey as details needed, quote requested, quote received or confirmed in writing. Record the accepted date, flight, passengers, luggage, destination, total fare, payment responsibility and agreed contact procedure. Ask whether the quoted amount is for the vehicle or per passenger and what agreed stops or services it covers. Do not assume a wedding group discount or apply a standard calculator estimate to a larger party. Identify who may authorize changes and update affected guests after the transport provider accepts them.
Plan return flights independently
Add a separate return entry for each travel party: departure flight, local date, final accommodation, pickup point and agreed pickup time. Guests may leave on different days or move hotels after the ceremony. Use the airline's current reporting instructions and allow for loading and the road journey when discussing pickup. Confirm the accepted return arrangement rather than copying the arrival details. Changing a hotel reservation or telling the wedding planner about a new flight does not automatically update a separately arranged airport pickup.
Keep venue transport separate from airport journeys
A rehearsal dinner, ceremony, reception or next-day activity may need its own transport plan. Identify the venue, date, passenger movements and access arrangements separately. Do not assume an airport transfer quote covers wedding event rides, waiting during a reception or access inside a resort. Check venue receiving instructions with the responsible contact. Before travel, give guests the confirmed journey details and the person to contact if their plans change, including the independently confirmed return pickup.
Questions about Nassau wedding guest airport transfers
Does a wedding room block reserve airport transfers?
Do not assume it does. Check the specific package and obtain written confirmation of each included journey, passengers, dates and payment arrangements. A hotel room confirmation alone does not establish a car booking.
Should everyone wait for the last wedding guest’s flight?
Only if that arrangement has been explicitly agreed. Compare the actual flights, hotels, luggage and waiting requirements before grouping guests. Separate arrivals may need separate pickups, particularly when a flight changes.
Are wedding venue rides included in airport transfers?
Only if the written arrangement explicitly includes them. Ceremony, reception and other event journeys need their own locations, times, passenger details and accepted terms. An airport quote does not automatically cover these rides.
